Comparisons

Business AI suites compared

Five AI suites companies use to roll out AI across a team - scored on the same seven criteria, with a source link and date on every entry. One thing up front: these are deliberately not five flavors of the same tool. Copilot, Gemini and ChatGPT are horizontal assistants, Notion is a workspace AI, Agentforce is an agentic CRM system - which suite fits depends less on the "best" tool than on where AI should plug into your company. The switch above the table toggles between the individual/solo and the business perspective. And none of these vendors works out of the box on your own processes and data - where the standard suite's limit lies is spelled out honestly below.

A business AI suite is an AI assistant a company licenses team- or org-wide that works on the company's own data (email, documents, CRM) - for example Microsoft 365 Copilot, Google Gemini for Workspace, ChatGPT Enterprise, Notion AI, or Salesforce Agentforce.

Which tool fits you?

Already standardized on Microsoft 365

Microsoft 365 Copilot

Deepest data access (Microsoft Graph) and most complete governance - the value shows up right in Word, Excel, Outlook and Teams.

Google Workspace shop watching price and German compliance

Google Gemini for Workspace

AI included at no surcharge, very easy rollout and officially BSI C5 - but check Enterprise Plus for strict EU residency.

Roll out the strongest general-purpose AI fast and tool-independent

ChatGPT (Business & Enterprise)

Lowest barrier to entry, highest documented active use, no existing suite subscription needed.

Team already lives in Notion

Notion AI

AI directly on your own workspace knowledge, with sources - attractive for startups and SMBs already using Notion as a hub.

Key takeaways

  • There is no blanket winner: Copilot leads on the deepest Office integration and governance, Gemini on price/performance (and BSI C5 for Germany), ChatGPT on the lowest barrier to entry and highest adoption, Notion for Notion-native teams, Agentforce for CRM-centric process automation.
  • Recurring GDPR pattern: the strongest privacy guarantees (EU data residency, zero data retention) are almost everywhere tied to the most expensive tier - a smaller company on a cheaper plan often doesn't get them. Check exactly which guarantee applies in which tier.
  • The list price is rarely the final price: Copilot agents (Copilot Studio), Notion custom agents and Agentforce all run on separate credit/usage models - actual cost depends heavily on how much you use.
  • Data access decides the real value: Copilot (Microsoft Graph) and Agentforce (Data Cloud) ground most deeply on real company data - both a strength and a prerequisite, because without clean permissions and data hygiene even the best AI delivers little.
  • Adoption is the underrated factor: independent surveys show markedly higher active use for ChatGPT than for M365 Copilot - the most expensive license is worthless if the team doesn't use it.

Frequently asked questions

Which business AI suite is the best?

There's no single best suite - the choice depends on where AI should plug into your company. Microsoft 365 Copilot is strongest for Microsoft 365 shops (deepest Office integration, best governance), Google Gemini for Workspace offers the best price/performance and BSI C5, ChatGPT the lowest barrier to entry and highest adoption, Notion AI suits Notion-native teams, and Salesforce Agentforce fits CRM-centric process automation.

Which business AI suite is GDPR-compliant and offers EU data residency?

All five vendors commit to not training on customer data and offer a data processing agreement. For EU data residency, though, look at the tier: with Google Gemini the EU data region for Gemini only starts at Enterprise Plus; with Notion, zero data retention and Frankfurt residency are Enterprise-exclusive; with ChatGPT, EU residency isn't established for the self-serve "Business" tier (Enterprise/Edu/API yes). Microsoft (EU Data Boundary, in-country processing for Germany from 2026) and Salesforce (Hyperforce EU) address EU processing more broadly - but even here there are exceptions (e.g. Microsoft's Flex Routing). Always confirm the specific guarantee contractually for your tier and use case.

What does a business AI suite really cost?

The seat price is rarely the final price. ChatGPT Business ($25) and Gemini (included in the Workspace plan) are the most transparent. With Microsoft 365 Copilot ($30) agent credits via Copilot Studio are added, with Notion custom agents cost extra credits, and Salesforce Agentforce bills by usage (Flex Credits or $2/conversation) and effectively requires the paid Data Cloud. For a realistic comparison, always include usage/agent costs and prerequisites, not just the list price per seat.

When is a standard AI suite no longer enough?

Standard suites are strong for general tasks - writing, summarizing, searching, meetings. Their limit is reached when AI needs to work deeply on your specific processes, domain terminology and distributed data sources: when answers must be combined from multiple internal systems, when strict on-premise or data-sovereignty requirements apply, or when a standard assistant doesn't know your actual domain logic. Then the answer isn't the next-more-expensive license but a tailored application built on your data (e.g. via retrieval-augmented generation). That threshold is exactly where our Custom Applications service comes in.
