Response-time-to-revenue calculator

What does a slow response to inquiries actually cost you?

Enter the key facts about your inquiries. The calculator shows how much extra revenue a faster first response – e.g. through an automated first reply or AI-assisted lead routing – can realistically bring. As a range, not a flattering single number.

The response-time-to-revenue calculator estimates how much extra revenue results from answering inquiries faster – derived from lead-qualification research, but calculated deliberately more conservatively than the full study value.

What the research shows

A Harvard Business Review study (Oldroyd/McElheran/Elkington, 2011, 1.25 million leads) found: firms that contacted inquiries within an hour qualified them nearly 7× more often than those who waited just an hour longer – with 24+ hours of delay, the gap widened to more than 60×. This calculator deliberately uses a much more cautious value (see methodology below).

Want to know how to actually implement a faster response?

How this tool calculates

  • Research basis: Harvard Business Review (Oldroyd/McElheran/Elkington, 2011): an audit of 2,241 US companies on response time plus a separate study of 1.25 million leads – contact within 1 hour led to a ~7× higher qualification rate than contact just an hour later, and more than 24 hours of delay lowered it by more than 60×.
  • Deliberately dampened: the study figure measures pure lead qualification (a conversation with a decision-maker), not the final deal. Since price, offer and competition also influence the close, this tool applies a much more conservative uplift to your conversion rate (+15–110% instead of the full study factor), depending on your current response time.
  • Ceiling: the calculated new conversion rate is capped at 60% so that unusual inputs never produce an implausible number.
  • What's not included: implementing this (automated first reply, lead routing, AI intake) itself causes cost and ongoing maintenance effort, which isn't quantified here. The Automation ROI calculator or a first conversation clarifies that.

This calculator provides an estimate as a basis for a decision, not a quote. The actual figures depend on details of your sales process that we clarify in a conversation.

Frequently asked questions about the calculator

Where do the numbers in this calculator come from?

From a 2011 Harvard Business Review study (Oldroyd/McElheran/Elkington): an audit of 2,241 US companies on response time plus a separate study of 1.25 million leads. The full study value (up to 60× higher qualification rate) measures pure lead qualification, not the final deal – so this tool deliberately applies a much more conservative uplift to your actual conversion rate.

Why doesn't the calculator use the full 7×/60× factor from the study?

Because that factor measures how much more likely a real conversation with a decision-maker becomes – not how much more likely a deal ultimately closes. Price, offer, competition and sales quality also play a role. Applying the full factor one-to-one to your conversion rate would produce unrealistic numbers. That's why we deliberately calculate more cautiously.

What counts as a 'fast response'?

In the underlying study, the threshold was one hour: companies that made contact within an hour qualified leads far more often than those who took longer. In practice, 'fast' today often means minutes rather than hours – achievable through an automated first reply, lead routing, or an AI-assisted chat intake.

What do I do with the result?

If the calculator shows a clear revenue lever, Automation Build is the right next step: an automated first reply, lead routing, or AI intake that structurally shortens your response time. If it shows little, the lever is probably elsewhere – that's exactly what the AI Opportunity Scan uncovers.
